Committee of Stewards Meeting – Tuesday, October 7, 2008.

Call to Order
Lynda Boulter called the meeting to order in the name of Jesus Christ, the one and only Head of the Church, and followed with the Opening Prayer.
Approval of Agenda
The agenda was approved.
Minutes of the
last meeting
Ann McDougall made a motion for the acceptance of the minutes which was seconded by Donna Smith. Carried.
Business arising
from the minutes
1) Festival Fish Fry – We need to be thinking about how to get more help for this event next year. It will be the responsibility of the incoming Stewards in March 2009. Lynda Boulter brought up two other items for consideration next year: a cashbox at the Hospitality Tent for the Fish Fry, and a process for dealing with Verona Bucks.
2) The September Fish Fry was quite successful. There were a few issues with the people doing the fish, and we had too many potatoes, but otherwise things went well.
3) Ann McDougall reported that the Quilt Show preparations are going well. We have lots of volunteers to set up on Friday, Oct. 17th, as well as for the Quilt Show on Saturday, Oct. 18 th..
4) Linda Brown reported on the Apple Pie Bee which took place on October 1st. All 46 pies were sold very quickly, and it was suggested we make double the number next year on two different days. Linda thought Marilyn Duffe’s idea of pre-ordering worked well.
5) Carrot Pudding Bee, October 8th. Sharon Sole has a crew all ready for this event.
6) There was further discussion about doing a Pig Roast next Fall, and Donna Smith will determine a suitable date with the Lloyds, so it doesn’t conflict with their moose hunting or the Thanksgiving weekend.
7) Don Coleman reported that the signs for the parking lot were being made and would be ready soon.
Treasurers Report
Don Coleman walked us through the details of his report. We have just $2000.00 left to pay on our loan. Don made a motion that his report be accepted. Seconded by Denny Buchanan. Carried.

Correspondence
1) Lynda Boulter received an e-mail from John McDougall requesting that the rental fee for the Verona and District Health Services Committee be waived for the October 8 th meeting in the Memorial Room. Linda Brown so moved. Seconded by Dorina Friedli. Carried.
2) A letter was received from the HBC with a fundraising plan called The Giving Day. It was met with mixed emotion. Denny Buchanan will look into it and bring information to the next meeting.
New Business
1) The secretary will write a thank you note to Deborah and Paul Spaar for their successful fundraising event on September 6th.
2) A thank you note will also go to Barb Stewart for her donation of Tim Horton coffee for the BUNN coffee maker.
3) Lynda Boulter bought a new lock and key for the sidewalk sign to replace the one that went missing.
4) Lynda Boulter brought to our attention that the church doors were not always locked and the heat turned down when leaving the building. We all need to be aware of these and other regular church routines.
5) Lynda Boulter asked for volunteers to help with Jean Clair’s Birthday Celebration supper. ( November 14,15.) She and Bonnie Brown will meet with Jean in preparation.
6) Linda Brown said she would again take on the planning for Guess Who’s Coming to Dinner, which will be held on Saturday, January 31, 2009, and will include St. Paul’s.
Calendar Update
The next Official Board Meeting is November 24 at St. Paul’s at 7:00PM. Jennifer Bennett will chair this meeting.
Next Stewards meeting – Tuesday, November 4, 2008 at 7:00 PM in the Fellowship Hall.
We ended with our Closing Prayer and the meeting was adjourned at 8:30 PM.
