Committee of Stewards Meeting – May 6, 2008 7PM

Call to Order - Lynda Boulter called
the meeting to order in the name of Jesus Christ, the one and only Head of the
Church, and followed with the opening prayer.
Approval of the Agenda - The agenda was approved with two additions.
Minutes
Ann McDougall moved that the minutes be adopted as presented. Linda Brown seconded the motion. Carried.
Business Arising
1) Anniversary Weekend – Linda Brown is concerned that only one family has signed up for the dinner. She will call Joyce Casement to see how many people are needed to make the dinner happen.
2) Inez Code’s birthday celebration - There is a Steward’s “work bee” scheduled for 9AM Friday, May 30th. We also need to be at the church at 10AM on Sat. May 31st to set out lunch for the family, and after, prepare for the Open House at 2PM for the church family.
3) After some discussion we decided to go ahead with the September Fish Fry, since it will bring in money to help pay down the debt. It will be Sept. 19th.
4) The Gospel According to St. Mark was not well attended and brought in only $80.00 for our congregation.
5) Don Coleman reported that $242.00 was raised for the You to Youth campaign.
6) The May Pie Sale was discussed and we have plenty of help to work on Sat., May10th. Donations of pies are down from last year. Ann McDougall will sell Quilt Raffle tickets during the pie sale.
7) Steward’s are responsible for Fellowship on May 18th. We decided on breads, muffins, croissants and tea or coffee.
8) We briefly checked over the Trinity Information booklet and leaflet prepared by Rev. Lynda Price.
Treasurer’s Report
Don Coleman presented his report, indicating we are still $11,000 short in Local Expenses. Once the debt is paid off , hopefully this year, we should be able to eliminate this shortfall.

Correspondence
1) A note from the Verona Lion’s Club was received, thanking us for the donation of salt and pepper shakers.
2) A letter from the Verona Community Association noted that the Verona Festival will have as its theme, “Pirates of the Frontenac.”
3) A note from John McDougall explained that the United Church of Canada has no money left this year in the Church modernization and improvement grant, which we applied for to assist in refurbishing windows. The Official Board should prepare a grant application for next year. His letter also explained a number of ideas discussed with Susan Leslie from the Child Care Centre in Sharbot Lake about payment for use of our Activity center.
New Business
1) Lynda Boulter reported that she had purchased a number of items for the kitchen at IKEA. There is now a balance of $209.83 on the IKEA card.
2) Deborah Sparr’s Birthday fundraising event will be discussed at our next meeting.
3) Lynda Boulter reminded us that we must book any events at the church through Judy at the church office.
4) The Interim Ministry event, June 11, 12, and 13, was discussed, and work crew times and meals were decided upon. Stewards’ work bees are: Mon. June 9 @ 9AM, Tues. June 10 @ 9AM, and for June 11, 12, 13, there will be a sign-up sheet for a Stewards and Congregation work crew, which will be presented at our June 3 meeting.
5) A decision was made to help communication by having Don Coleman add a sentence or two regarding the Minutes of the Stewards meetings, along with his Financial Report for the Bulletin once a month.
6) Lynda Boulter will write a letter to the Crossley stove company regarding our high repair bill for the self-cleaning oven component.
7) A budget summary from Conference was available for those interested.
8) Denny Buchanan asked about the procedure for handling New Business. He feels that we should have the information ahead of time, so we can come to each meeting with our own ideas, rather than a dispersal of information from the Chair. Discussion followed.
Calendar Update - The next Official
Board meeting is September 22, 2008.
Next Stewards meeting is Tuesday, June 3, 2008, at 7:00 pm in the Memorial Hall.
We ended with our closing prayer, and the meeting adjourned at 8:45pm.
