Committee of Stewards Meeting – June 3, 2008, 7PM

Call to Order
Lynda Boulter called the meeting to order in the name of Jesus Christ, the one and only Head of the Church, and followed with the Opening Prayer
The Agenda was approved.
Minutes
Ann McDougall moved that the minutes of the previous meeting be accepted as presented. Seconded by Bonnie Brown. Carried
Business Arising
1) Linda Brown gave a brief report on the Anniversary Weekend events. All details seem to be in order.
2) Deborah Spaar’s Birthday fundraising event on September 6, 2008 will be held at her home. She is taking care of all details.
3) The You to Youth Group will be here on Anniversary Sunday to report on their successful campaign.
4) May Pie Sale – It was suggested that each pie be labeled by the pie maker.
5) Lynda Boulter thanked all the Stewards for their help with the Fellowship which was enjoyed by all.
6) Lynda Boulter reported that the Interim Ministry event scheduled for June 11,12,13 has been cancelled. See Catering proposal under New Business.
7) The Budget summary of the Bay of Quinte Conference will be addressed at our joint meeting with the Session.
Treasurer’s Report
Don Coleman presented his report to May 31, 2008 and moved that it be accepted. Seconded by Linda Brown. Carried. There was discussion about the large hydro bill as compared to last year at this date.

During July and August, Don will ask someone at the service to help him with the counting. On Aug.31, Don will be away so he will find 2 people to count.
Correspondence
Lynda Boulter received a beautiful thank you letter from Heather Code with $500.00 enclosed. Lynda thanked the team who worked to make Inez Code’s 90th birthday so successful.
New Business
1) Catering Proposal. There was discussion about a non-refundable deposit for events which are catered, and the group felt we should ask for 50% of the amount to be spent on groceries. The person shopping should not have to pay out of pocket but should request money from Don Coleman if needed.
2) Lynda Boulter thanked Wanda and Ed Asselstine for watering plants and trees at the church for many years. Dorina Friedli volunteered to take over this job.
3) Ann McDougall will write two thank you notes; to Sharon and Carl Sole for the successful “ Whale of a Sale “, and to Dorina and Hannes Friedli for their generous donation of the surfacing of the church parking lot.
4) Donna Smith volunteered to chair the July 5th Lion’s Pancake Breakfast this year.
5) Bonnie Brown will chair the Aug. 9 Festival Fish Fry, as well as the Sept. 19 Fish Fry.
6) Ann McDougall is chair for the Quilt show and raffle on October 18, 2008.
7) Linda Brown will chair the Apple Pie “bee” (date to be set later and booked with Judy)
8) Sharon Sole will chair the Carrot Pudding “bee” in October.
9) Parking lot – Don Coleman will look after signs for special spaces for the Minister, the Organist and Wheelchair access.
10) Donna Smith told us of a pig roast that she attended at St. Margaret’s church in Kingston and suggested we try this in place of the second Fish Fry in 2009. The same Fish Fry people roasted the pig, and the church people did baked beans, baked potatoes, and salads to go with it. We thought October would be a good time for an event like this.
Calendar Update
Next Official Board Meeting will be September 22 at Trinity.
Next Steward’s Meeting is Tuesday, September 2, 2008.
The meeting ended with our Closing Prayer and was adjourned at 8:35pm
