Committee of Stewards Meeting – December 2, 2008

Call to order

Lynda Boulter called the meeting to order in the name of Jesus Christ, the one and only Head of the Church. The opening prayer followed.

 

The Agenda was approved.

 

Minutes

Lynda Boulter thanked Linda Brown for doing last month’s minutes. Ann McDougall moved a motion for acceptance. Seconded by Linda Brown . Carried.

 

Business Arising

1) Donna Smith reported that Jeff and Carol Lloyd (613 373-2263) could do a Pig Roast for Trinity on Saturday, October 24, 2009. It will be left to next years Stewards to negotiate a price and the possibility of supplying our own pig.

2) Jean Clair’s Birthday Celebration was a great success, with a good team of Stewards and their spouses helping out. Lynda Boulter thanked everyone for their help and has made post notes for this event.

3) A Special Givings Christmas letter has been sent to all of Trinity congregation. Lynda Boulter thanked Don Coleman for doing this.

 

Treasurers Report

 

Don Coleman gave his report for the month of November  and made a motion for acceptance. Seconded by Bonnie Brown. Carried.

Don  also presented  his budget for 2009 and made a motion for acceptance of the budget. Seconded by Donna Smith. Carried.

Correspondence

1) An e-mail from John McDougall stated that the United Church National Office requested another $6.36 still owing on our loan.

2) Don Coleman sent an e-mail to them, and received a reply stating that  the National Office of the United Church of Canada thanks Trinity United for completely paying off their loan.

3) There was another e-mail from Don Coleman regarding the roof leak in the Sanctuary. There is a flashing problem in 2 places, which the Men’s Group will attend to in the spring. The roof also needs to be painted.

 

Maintenance and Renovations

Small jobs are being done as time and money allow.

 

New Business

 

1) A notice regarding Accessibility issues came from the Ministry of Community and Social Services via Rev. Lynda Price. It stated that by the year 2012 we would need to be fully accessible (ie. wheelchair accessible, signing for the hearing impaired)

2) Lynda Boulter will talk to Joyce Casement regarding heat in the sanctuary on Sunday mornings (18 degrees Celsius) and the handicapped signage when it is ready.

3) Lynda Boulter brought up her concerns regarding doors left unlocked, heat left up and other church issues. We discussed these issues and decided that our caretaker Joyce Casement should be the one to check up on, and deal with these problems. We will discuss it further with the Session at our joint meeting. Linda Brown wondered if a note in the Newsletter could address these concerns.

4) Our Winter Weekend Breakfasts will take place each Saturday from January 3 – 31, 2009. Ann and John McDougall and Lynda and Doug Boulter will meet to organize this event before the New Year. Donna Smith said she and Richard will be there to help.

5) Ann McDougall made a motion that we reimburse Elaine St.John  up to $30.00 for the labels she provided for our kitchen. Seconded by Dorina Friedli. Carried.

 

Calendar Update

1) Next Official Board meeting – Monday, January 26, 2009 @Trinity – 7PM.

2) Trinity Annual Meeting – Sunday, February 15, 2009 @ 12 noon. Brown bag lunch

 

 Next Stewards meeting -  January 6, 2009 @ 7PM Memorial Hall

 

The meeting ended with our Closing Prayer, and we adjourned at 8:05 PM
